Bookkeeper vs accountant: what is the difference?
A bookkeeper records and organizes financial transactions, reconciles accounts, and prepares financial reports. That can include ongoing monthly bookkeeping or a catch-up and cleanup project.
Accountants may provide financial analysis, advisory services, and tax services, depending on their qualifications and focus. A CPA is a licensed accounting professional, and some specialize in tax preparation and planning.
At Ledger & Logic, we focus on bookkeeping and, with your permission, coordinate with your accountant or tax preparer.
Do I need both a bookkeeper and an accountant?
Often, yes, because they do different work and complement each other. When your books are reconciled and your statements are organized, your tax preparer has less to sort out at filing time.
Does Ledger & Logic provide IRS representation?
No. We provide bookkeeping services, not IRS representation. With your permission, we can provide financial records and answer bookkeeping questions to support the qualified tax professional handling your matter.
Does Ledger & Logic prepare tax returns?
Ledger & Logic provides bookkeeping services and does not prepare or file income tax returns. We help organize your financial records for tax preparation and, with your permission, work directly with your tax preparer on bookkeeping questions and adjustments.
Sales tax filing and 1099 preparation are separate from income tax returns, and we would be happy to discuss either with you.

What it costs
How much does bookkeeping cost for a small business?
We quote monthly bookkeeping as a flat monthly fee, agreed before any work begins. We quote catch-up and cleanup projects as a fixed project fee based on your needs and a review of your books.
Every set of books is a little different, so we like to look at yours before putting a number to it.
What happens in the consultation?
We’ll discuss your needs, provide a broad pricing range when possible, and explain the next steps toward a formal quote.
After that, we review your books, so the quote we send matches what your books need. You receive a clear scope and price before work begins, and if we identify additional work outside that scope, we discuss any proposed changes with you and obtain your approval before proceeding.
Why a flat fee rather than an hourly rate?
A flat monthly fee makes it easier to budget for your bookkeeping. Your personalized plan outlines the work and level of support included. If your needs change, we discuss any adjustments with you before changing the scope or fee.
Is there a contract?
Monthly services run month to month, with no long-term commitment. A written service agreement outlines the scope, fees, responsibilities, and cancellation process, including any required notice. Catch-up and cleanup projects are scoped and priced separately before work begins.

How do we get started?
It starts with a conversation, and you are welcome to bring your books exactly as they are. We will talk about your business, what you need, and how we can help.
What happens in the first month?
The first month looks a little different from the months that follow. We review your opening balances and your existing file before routine work starts, so every report after that starts from numbers we have checked.
If your books are behind or need significant corrections, we discuss any catch-up or cleanup work with you and agree on a separate scope and fee before proceeding.
What do you need from me each month?
Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.
Do we have to meet in person, and do you work outside Northern Virginia?
We work remotely in your own QuickBooks Online file and meet on scheduled calls rather than office visits. Ledger & Logic is based in Lorton and works with small businesses across Northern Virginia. Because everything happens in QuickBooks Online, we can help clients anywhere in the country.
Who owns my QuickBooks file?
You do, on your own subscription, with permissions you control and can revoke at any time. If we ever part ways, you change the access, and your file stays exactly where it is.
How often will we talk?
Some clients like a monthly call to walk through the reports together, and others prefer to check in less often. You work with the same point of contact throughout, so we get to know your business and how you like things done.

What is included in monthly bookkeeping?
Each month we reconcile the business bank and credit card accounts included in your plan, categorize your transactions, and prepare a profit and loss statement and a balance sheet. We agree on your personalized plan at the beginning, so you always know what to expect and when.
Can you handle payroll, bill payment, or invoicing?
Payroll, accounts payable, and accounts receivable are available as additional services within your bookkeeping plan. We would be glad to talk through which ones fit your business.
Do you offer job costing for project-based businesses?
Yes. Job costing requires its own setup, and ongoing job-costing work can be added to your monthly bookkeeping plan. It tracks revenue and costs against each project, so you can see how each job performed.
It takes deliberate setup in QuickBooks Online, and it works best when costs are coded to jobs as they happen. We will walk through that part with you.
Can you clean up a QuickBooks file that someone else set up?
Yes. Cleanup can include correcting the chart of accounts, sorting out miscategorized transactions, correcting duplicate entries, and reconciling accounts as needed.
Do I need to already use QuickBooks Online?
We work in QuickBooks Online, on your own subscription. If you use something else or work from spreadsheets, we can talk through what moving over would involve and whether it makes sense for you.
