Reconciliation as part of a monthly service keeps each account in agreement with its statement as the year goes on, and it is included in every monthly bookkeeping plan.

If accounts have gone unreconciled for a longer period of time, we work through the missed months starting with the earliest, and we quote that as a separate project with its own scope and fee.

You receive a clear scope and price before work begins.

Access

We help you grant accountant access to QuickBooks Online and, where available, read-only access to your business bank and credit card accounts so we can retrieve statements directly. If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder.

Within monthly bookkeeping

We review your opening balances, then reconcile each account in the agreed scope to its statement each month and prepare your reports.

Within a catch-up or cleanup

We work through the applicable periods starting with the earliest and reconcile the accounts included in the agreed scope.

Reconciliation is priced as part of the service it belongs to. Within monthly bookkeeping, it is covered by your personalized monthly amount.

Your personalized plan outlines the work and level of support included. If your needs change, we discuss any adjustments with you before changing the scope or fee.

Where the accounts are behind or need significant corrections, catch-up or cleanup is quoted as a separate project fee based on your needs and a review of your books. Monthly bookkeeping runs month to month, with no long-term commitment. A written service agreement outlines the scope, fees, responsibilities, and cancellation process, including any required notice.

What we need from you

Less than you might expect, because much of the information we need can be accessed once your accounts are set up.

Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.

If a document is missing or a transaction is unclear, we come back to you rather than guessing. Where it still cannot be resolved, we will work it through with you, and involve your tax preparer if that helps.

What reconciled accounts give you

Your profit and loss statement and balance sheet are prepared from figures checked against the bank.

If something on a statement doesn’t look like a typical month for you, we will discuss it with you that month.

Reconciled accounts are what your monthly reports are prepared from, which is why reconciliation comes with monthly bookkeeping rather than on its own.

What if I am not sure whether my accounts have ever been reconciled?

That is common, and it does not change how we start. Tell us what you can, and our review of your books will tell us the rest.

How often should my accounts be reconciled?

Monthly, for each business bank and credit card account in your plan. Reconciling while the statement is recent keeps any differences small and easy to trace, and it keeps your reports up to date when you need them.

What happens if an account does not reconcile?

We trace the difference to the transaction causing it, which is usually something recorded twice, recorded at a different amount, or not recorded at all. If we need a document or detail from you to settle it, we will ask, and the account will remain unreconciled until the difference is explained.
