Sales Tax Filing Services for Small Businesses

Sales tax filing services from Ledger & Logic keep what you collect recorded properly in QuickBooks and your returns filed on schedule, without you having to track the filing deadlines yourself.

Sales tax filing comes as part of an ongoing bookkeeping plan rather than on its own.

Through each filing period

Through the month we keep what you collect recorded as it comes in, so the figures are ready when the period closes.

When the period closes, we check what was collected against what your books show, prepare the return, and file it on the agreed schedule where filing is part of your plan.

If the two do not agree, we work back through the period and discuss what we find with you before anything is filed.

Who sales tax filing helps

You are in the right place if any of these are familiar:

  • You collect sales tax and would rather not keep track of the deadlines yourself
  • You are not sure your QuickBooks sales tax settings still match how you file
  • You sell in more than one locality and the rates are not the same
  • Your filing frequency has changed and you need help keeping your bookkeeping and filing schedule aligned
  • What you collected and what you filed have not always agreed
  • You sell both taxable and exempt items and want that recorded properly
  • You have started collecting sales tax and would like it set up properly from the start

We are in Lorton, Virginia, and work with small businesses across Northern Virginia. Because the work happens in your cloud-based QuickBooks file, we can support clients anywhere in the country.

For contractors, landscapers, and other project-based businesses, what is taxable can vary with the type of work. We prepare filings based on the sales tax requirements applicable to your business.

How sales tax filing services work

A personal consultation

Tell us what you sell, where you sell it, and how your sales tax is handled now. From that, we can usually give you a broad range on the call itself.

A review of your books

We review what you have now, so the plan we quote fits what is there.

Your plan and fee

You receive a clear scope and price before work begins, including which filings we handle.

Access

We help you grant accountant access to QuickBooks Online and, where available, read-only access to your business bank and credit card accounts so we can retrieve statements directly. If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder. We will also agree together how we access your state filing account.

Your sales tax setup

We look at how sales tax is set up in QuickBooks, review your filing frequency and registered jurisdictions, and agree what we handle each period.

Each filing period

We reconcile what was collected against your books, prepare the return, and file it on the agreed schedule where filing is included in your plan.

What sales tax filing includes

  • Sales tax settings configured in QuickBooks as applicable based on your business’s sales tax requirements
  • Taxable and exempt sales recorded as they are entered, where applicable
  • Sales tax collected reconciled against what your books show for the period
  • Returns prepared from your books for each filing period included in your plan
  • Returns filed on the agreed schedule, where filing is included in your plan
  • Your filing frequency and registered jurisdictions reviewed as your business changes

What this gives you

Your returns go out on the state’s schedule without you keeping track of the dates.

What you collected and what you filed agree month after month, because both come from the same set of books.

If your filing frequency changes or you become registered to collect sales tax somewhere new, we update your bookkeeping and filing process accordingly.

How sales tax filing is priced

Sales tax filing is added to your bookkeeping plan rather than purchased on its own, so it is covered by your personalized monthly amount.

Your personalized plan outlines the work and level of support included. If your needs change, we discuss any adjustments with you before changing the scope or fee.

Your plan runs month to month, with no long-term commitment. A written service agreement outlines the scope, fees, responsibilities, and cancellation process, including any required notice.

What we need from you

Less than you might expect. Much of what a return needs is already in your books by the time the period closes.

Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.

Where you are registered, any exemption certificates you hold, and anything the state sends you about your filing frequency come from you. If a notice arrives and you are not sure what it means, send it over and we will look at it together.

Frequently asked questions

Which states and localities can you file in?

We will talk through where you are registered and confirm which filings are included in your plan before anything begins.

Is sales tax part of my income tax return?

No. Sales tax is collected from your customers and filed with the state on its own schedule. Ledger & Logic provides bookkeeping services and does not prepare or file income tax returns. With your permission, we work directly with your tax preparer on bookkeeping questions and adjustments.

What if what I collected and what I filed do not agree?

We work back through the period to identify the source of the difference. We will discuss what we find with you before the current filing is prepared or submitted.
