You receive a clear scope and price before work begins.

Access

We help you grant accountant access to QuickBooks Online and, where available, read-only access to your business bank and credit card accounts so we can retrieve statements directly. If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder. We will also agree the access we need with your payroll provider.

We look at how payroll is recorded in QuickBooks now, confirm your pay schedule, and agree together what we handle each period.

We support payroll according to the agreed scope and make sure each completed payroll run is properly recorded in QuickBooks.

What payroll includes

  • Payroll support through the payroll provider you already use, based on the services included in your plan
  • Each pay run recorded in QuickBooks, with wages, taxes and employer costs posted to the right accounts
  • Your provider’s payroll reports reviewed against what is recorded in your books
  • Wages allocated to the appropriate job, where job costing is included in your plan
  • Employee payroll and contractor payments kept separate in your books, so contractor totals are available for 1099 preparation
  • Labor cost visible in your monthly reports

What this gives you

Your profit and loss statement shows the full cost of your team, the employer side included, so labor is not a figure you have to work out separately.

If you bill by the job and job costing is part of your plan, that labor appears against the jobs it was worked on.

At the end of the year, your contractor totals are already in place for 1099 preparation.

How payroll is priced

Payroll is added to your bookkeeping plan rather than purchased on its own, so it is covered by your personalized monthly amount.

Your personalized plan outlines the work and level of support included. If your needs change, we discuss any adjustments with you before changing the scope or fee.

Your plan runs month to month, with no long-term commitment. A written service agreement outlines the scope, fees, responsibilities, and cancellation process, including any required notice.

What we need from you

Less than you might think, once your payroll and your books are connected.

Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.

If payroll processing is included in your plan, hours worked, new hires, and rate changes come from you, and we agree at the start when we need that information. If something in a pay period is out of the ordinary, tell us and we will work out together how it should be recorded rather than guessing.

Frequently asked questions

Do you file my payroll taxes?

Those go through your payroll platform, which handles the withholding, the deposits and the filings. We look after the bookkeeping side and make sure each pay run is recorded properly in QuickBooks.

Do I need to change payroll providers?

Not necessarily. We can generally work with your existing payroll provider, depending on the access and support it offers. If you are setting payroll up for the first time, we can talk through how it will connect to your books.

How are the people I pay as contractors handled?

Contractor payments are not payroll. We record them against each vendor as they are paid, so the totals are in place for 1099 preparation, which is also available as part of your plan.
