If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder.

  • Accounts receivable, so someone is collecting what you are owed
  • Sales tax filing and 1099 preparation, where included in your plan
  • Job costing, so you can see the margin on each project
  • QuickBooks setup, cleanup, and training, if the file needs work or your team does

If your books are behind before we begin, we discuss any catch-up or cleanup work with you and agree on a separate scope and fee before proceeding.

Personalized scope and pricing

Your fee is a personalized monthly amount based on the services in your plan.

A flat monthly fee makes it easier to budget for your bookkeeping. Your personalized plan outlines the work and level of support included. If your needs change, we discuss any adjustments with you before changing the scope or fee.

Virtual bookkeeping services run month to month, with no long-term commitment. A written service agreement outlines the scope, fees, responsibilities, and cancellation process, including any required notice.

What we need from you

Less than you might expect, because much of the information we need can be accessed once your accounts are set up.

Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.

If a document is missing or a transaction is unclear, we come back to you rather than guessing. Where it still cannot be resolved, we will work it through with you, and involve your tax preparer if that helps.

With virtual bookkeeping, you pay a monthly fee for an agreed scope of services without adding an employee to your payroll. Whether that fits depends on how much bookkeeping you generate, and we can talk that through on a call.

How do you keep my information secure?

The subscription stays in your name throughout. You grant access in QuickBooks Online, and you can change or remove it at any time. Where your bank offers read-only access, that is the level we ask for, allowing us to access the information needed for bookkeeping without the ability to move money. Everything else moves through the channels set up for you at the start.
