Where invoicing is part of your plan, we prepare and send your invoices on the schedule you set. We record payments against the right invoice as they arrive and keep your accounts receivable aging in front of you, so you can see what is outstanding and how long it has been.
How far the follow-up goes is yours to decide, and we agree it at the start. Some owners want reminders and statements sent on a set schedule and nothing beyond that. Others would rather we continue following up on an invoice until it is settled. Either way, you tell us how you would like your customers treated, and we keep to it.
If something needs a different approach with a particular customer, tell us and we will handle it the way you ask.

Your plan and fee
You receive a clear scope and price before work begins, including how far the follow-up goes.
Access
We help you grant accountant access to QuickBooks Online and, where available, read-only access to your business bank and credit card accounts so we can retrieve statements directly. If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder.
Your customer records
We review your customer list with you, set up new customers in QuickBooks Online as needed, and confirm the terms that apply to each one.
Each month
We send your invoices on the agreed schedule where that is part of your plan, record payments as they arrive, and your aging report comes with your monthly reports.

Your personalized plan outlines the work and level of support included. If your needs change, we discuss any adjustments with you before changing the scope or fee.
Your plan runs month to month, with no long-term commitment. A written service agreement outlines the scope, fees, responsibilities, and cancellation process, including any required notice.

What we need from you
Not much, once your invoicing is running through QuickBooks.
Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.
What we do need is your terms, anything you have agreed separately with a particular customer, and a word from you when a situation should be handled differently. If a customer disputes an invoice, we bring it to you rather than pressing on.
Frequently asked questions
How far will you go to collect?
We follow up to the extent agreed in your plan, and no further. We agree that at the start and it can change later. If a customer disputes an invoice, or the situation needs a conversation rather than a reminder, we bring it back to you.
Do you handle the invoicing as well, or only what is outstanding?
Either. Some owners want us to prepare and send everything, and others invoice themselves and want us keeping track of what is owed. We can work out which of those suits you on the call.
How will my customers be contacted?
That is agreed with you at the start, along with the wording and the schedule. Your customers are your relationships, and we work the way you would.
