Setting up, cleaning up, and keeping it right
If you are starting fresh, we build the file around how your business runs: the chart of accounts, your products and services, your customers and vendors, and the settings that decide what your reports can show.
If the file already exists and no longer fits, we correct it. That can include the chart of accounts, miscategorized transactions, duplicates, and balances that have never tied out.
If you would rather keep doing the books yourself, we configure everything and show you how to manage it.

A personal consultation
Tell us about your business, what the QuickBooks file looks like now, and what you would like it to do. From that, we can usually give you a broad range on the call itself.
A review of your file
We look at what is there before quoting, so the price reflects the state of the file rather than a guess.
Your scope and fee
You receive a clear scope and price before work begins.
Access
We help you grant accountant access to QuickBooks Online and, where available, read-only access to your business bank and credit card accounts so we can retrieve statements directly. If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder.
The work
For a new file we set up the accounts, your products and services, and the opening balances. For an existing one we start with the chart of accounts, then the transactions, then the reconciliations.
Handoff
You get the completed file and current reports.

Scope and pricing
Each QuickBooks project is quoted as a fixed fee based on your needs and a review of your file. You receive a clear scope and price before work begins. If we identify additional work outside that scope, we discuss any proposed changes with you and obtain your approval before proceeding.
If you would like someone on hand after the setup, we can add ongoing support to a monthly bookkeeping plan.

What we need from you
Access to QuickBooks and a couple of decisions at the start.
Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.
Some of it only you can answer, like how you want your revenue broken down and which costs you track by job. We will suggest a starting point and talk it through with you, so those conversations stay short.
If you would rather keep doing it yourself
We set the file up, then walk you through the parts you will use: entering and sending invoices, recording payments against the right invoice, working through the bank feed, and knowing which report answers which question.
Frequently asked questions
What is a certified QuickBooks ProAdvisor?
A ProAdvisor is a bookkeeping professional certified by Intuit on QuickBooks, which means passing Intuit’s examinations and keeping the certification current as the software changes. In practice it means the person knows where the settings are and what they do, rather than learning on your file. Kris holds QuickBooks Online ProAdvisor certification at Level 1 and Level 2, and is also certified on QuickBooks Payroll.
Do you work in QuickBooks Desktop as well as Online?
Our work is centered on QuickBooks Online. If you are on Desktop and would like to move across, we can discuss what that would involve as part of the setup.
How long does a setup take?
A new file is usually a matter of days once we have the scope and access. Cleanup depends on the state of the file and how many months are involved, and you get a projected finish date with the quote.
