We record each payment against that vendor’s own record as it is made, so the information needed for year-end 1099 preparation is organized in QuickBooks Online as you go.
When January comes, we check your vendor totals against the current filing rules, review the vendors and filing information with you, and prepare and file your 1099s where that service is included in your plan.
If a W-9 is still missing, we will tell you which ones and what is needed, while there is time to sort it out.

We help you grant accountant access to QuickBooks Online and, where available, read-only access to your business bank and credit card accounts so we can retrieve statements directly. If your financial institution does not offer that access, you can share statements through QuickBooks Online or a shared Google Drive folder.
Your vendor records
We review your vendor list with you, set up new vendors in QuickBooks Online as needed, and identify any missing W-9s.
Through the year
We record payments against each vendor as they are made, and at year end we prepare and file your forms where that is included in your plan.

What we need from you
Any W-9s we are unable to collect directly, and a word when you take on a new vendor.
Once access is set up, we retrieve bank and credit card statements directly where available. You provide receipts, supporting documents, and details about transactions that need clarification through QuickBooks Online or a shared Google Drive folder. We group questions where practical to make responding easier.
If a vendor is slow to return a W-9, we will raise it with you while there is still time to sort it out rather than bringing it up at the deadline.

Which payments need a 1099?
It depends on how the vendor is set up and what the payment was for, and the thresholds are set by the IRS and can change. We review your vendor totals against the current filing requirements and confirm any questions or missing information with you.
What if a vendor will not give me a W-9?
Tell us, and we will note the missing W-9 and follow up as agreed with you. How to handle payments to that vendor from there is worth a conversation, and we would bring your tax preparer in where that helps.
Is this part of my income tax return?
No. 1099 preparation is separate from your income tax return. Ledger & Logic provides bookkeeping services and does not prepare or file income tax returns. With your permission, we work directly with your tax preparer on bookkeeping questions and adjustments.
